Frequently Asked Questions
Whilst we would love to start processing your invoices today, the transition to our new electronic platform means that we still have a short period where for technical reasons we can not yet register new customers. Our ClaimLogic ICU electronic platform launches in September, so register today to ensure all the registration and transfer processes can be completed in time. Invoices can be processed retrospectively for 2 years, so rest assured you will not loose out on any billing.
All of the signup and registration process and your transfer to ClaimLogic from your current billing provider (if you already have one) happens digitally. When you register for our services we will collect your details, including existing provider numbers you would like to use for billing. Once we generate the required Health Fund and Medicare forms these will be sent to you in a digital format for electronic signature. The transfer process can take up to two weeks, as the Health Funds need to register your new billing provider details against your provider numbers.
Most claims are validated and ready for electronic transmission to Services Australia for processing immediately. We aim to have all claims (including manual claims) fully processed within 24-48hrs. Online claims submitted through the ECLIPSE interface are usually paid by Medicare and the Health Funds in a matter of days (though some funds can take up to two weeks). Claims that require manual submission (e.g. compensation or overseas travel insurance claims) can take significantly longer.
ClaimLogic has been built to do exactly that. Not only do we have the most comprehensive collection of ICU related item numbers at your fingertips, our software has been built to validate all items against all relevant MBS rules and requirements, ensuring that you bill all the right item numbers every time. As part of the registration process we review your existing billing setup, including any billing sheets and item numbers you use and we provide complimentary education on use of our software platform and appropriate use of item numbers. And support does not end there, our locally based support team is always on standby to answer any of your questions.
Providing Anaesthetic services is a core element of Intensive Care practice for many Intensivists and ClaimLogic has a full featured Anaesthesia module where you can select items, modifiers and anaesthetic procedures at a click of a button. If you are qualified to perform diagnostic imaging services (e.g. echocardiography or general ultrasound) we also have you covered. Any additional services that fall outside of these that you may wish provide can also be added in at the time of registration or at any later date, for a fully customised personal billing experience.
While ICU billing is our specialty, our Software platform provides full integration with Services Australia opening up endless possibilities, allowing us to provide bespoke solutions to all craft groups working in a hospital setting. We are already working on additional modules, and if you are interested in streamlined, expert billing support for your specialty, we would love to hear from you. Please get in touch today to discuss your requirements.
ClaimLogic works best if you utilise the full power of the software interface, but we understand that old habits are hard to break and we fully support traditional paper based claims submission. We will provide you with a tailored smart billing sheet template that can then be uploaded and returned to us for processing. Still using a fax machine? We have you covered. Most modern machines will support fax to email, however if you need to fax your billing sheets properly old-school, our convenient fax to email number will still deliver your billing information straight to our inbox. Processing paper billing sheets does come with a very small (0.2%) additional cost and we encourage all users to transition to our digital platform.
Electronic claims currently can be lodged within 2 years of the date of service. So if you happen to have claims from last month (or last year) ClaimLogic can process these for you. It is important to note that best practice is to submit the claim as soon as practical as significant time delays make the likelihood of an invoice being rejected significantly higher.
ClaimLogic is web based, ensuring the software is always available and always up to date. Built with Progressive Web App (PWA) technology it can not only be viewed inside a browser, it can also be downloaded straight from your browser and functions exactly like a standalone desktop or smartphone app. Installation instructions and complimentary onboarding will cover any aspects of installing the software you may require assistance with.
ClaimLogic is hosted in Amazon Web Services in Sydney and complies with all local health record regulations. All data is encrypted at the infrastructure level and in transit via SSL. For more details about how we protect your patient data, reach out to our support team.
